1. Introduction

All DashAI (“we”, “our”, “the Plugin”) runs inside your WordPress environment and is designed to provide system monitoring, log visibility, a Knowledge Center for project context, and optional AI-powered insights. We prioritize privacy, transparency, and security in every part of the plugin.

This Privacy Policy explains what information the plugin processes when it is installed, when optional Freemius opt-in or license activation occurs, and when AI features communicate with OpenAI using a Bring Your Own Key (BYOK) model.

All paid plans include a time-limited free trial. A valid payment method is required to start the trial. No charges are applied during the trial period unless the user explicitly upgrades or allows the subscription to continue after the trial ends. Users may cancel the trial at any time before its expiration to avoid being charged.

2. Information We Collect

We only collect information necessary to operate the plugin, or information that you explicitly provide via settings, licensing, or optional AI usage.

2.1 Information You Provide

OpenAI API Key (Optional)

  • Stored locally in your WordPress database (encrypted).
  • Never transmitted to our servers.
  • Used only to authenticate requests sent directly from your site to OpenAI.

Monitoring Reports settings

  • Recipient email address for weekly Monitoring Reports.
  • Stored locally in your WordPress database.

Knowledge Center content

  • Project links, environments, and contact information entered by administrators.
  • Stored locally as WordPress settings.

Configuration Data

  • Stored locally in your WordPress database (module toggles and settings).

2.2 Automatically Collected Information

Plugin Usage Data (Freemius SDK)

If you accept the optional Freemius opt-in or activate a license, Freemius may collect information such as:

  • WordPress and PHP version
  • Plugin version and activation status
  • Website URL
  • Locale
  • Name and email address of the WordPress administrator performing the opt-in
  • Optional list of installed plugins and themes (depending on the opt-in choice)

This data is used for license and trial management, subscription billing, product analytics, security notifications, and support.

Freemius handles payment method validation, trial expiration, subscription activation, billing, cancellations, and refunds.

If you skip the opt-in, the plugin continues to function normally and no environment information is shared with Freemius beyond what is required for basic plugin operation.

Local Logs (stored on your site)

  • PHP runtime events (errors, warnings, notices, deprecated calls).
  • Database errors (wpdb) when exposed by WordPress.
  • Stored locally in a dedicated database table: {prefix}_dashaiwp_logs (example: wp_dashaiwp_logs).
  • Retention is automatic: logs are kept in a rolling window of up to 5,000 entries and up to 14 days (older entries are trimmed).

3. AI Features (OpenAI BYOK)

Some features of All DashAI can send selected diagnostic data to OpenAI to generate AI-powered insights. The plugin uses a Bring Your Own Key (BYOK) model: AI requests run only when you enable AI and provide your own OpenAI API key.

Data is sent only when an administrator triggers an AI action (for example, analyzing System Health, explaining Logs) or when an AI-enhanced Monitoring Report summary is generated while AI is enabled.

Examples of data that may be included in AI prompts

  • System snapshot data (WordPress/PHP environment and configuration signals).
  • Log entries and log summaries.
  • Monitoring Report summary inputs derived from System and Logs snapshots.

Where data is sent

  • https://api.openai.com/v1/chat/completions
  • https://api.openai.com/v1/models (API key validation)

We do NOT

  • Send your OpenAI API key to our own servers (it is used directly to call OpenAI).
  • Run AI without explicit admin action (or without generating a report you enabled).

AI Data Retention

  • We do not store AI prompt content on our servers because the plugin calls OpenAI directly from your site.
  • Any retention by OpenAI is governed by OpenAI’s policies and your OpenAI account settings.

4. How We Use Your Information

  • Provide plugin functionality (System Health, Logs, Knowledge Center, Monitoring Reports).
  • Generate AI-based insights when explicitly triggered by the user (or when generating a report you enabled).
  • Process license activation and updates via Freemius (if opted-in / activated).
  • Improve product stability and support.

5. Data Storage and Security

Local WordPress Storage

  • OpenAI API key (encrypted, if provided)
  • Monitoring Reports settings (recipient email and toggles)
  • Knowledge Center content (links, environments, contacts)
  • Logs stored in the local database table

All sensitive data stored by the plugin is stored locally, and credentials (such as the OpenAI key) are encrypted.

6. Data Retention

  • Plugin settings and Knowledge Center data remain in your WordPress database until you uninstall the plugin or reset/delete plugin data.
  • Local logs are automatically trimmed (up to 5,000 entries and up to 14 days).
  • Freemius retains data according to its own privacy policy.
